Common eClinicalWorks User Issues

Support queues repeat. The same six or seven complaints account for most eClinicalWorks tickets in most practices, and nearly all of them are configuration problems being managed as training problems.

I cannot find the diagnosis or medication

Usually a dictionary problem. The entry exists under a variant spelling, or three variants exist and the one attached to the template is not the one staff search for. Consolidate the duplicates, set a preferred entry, and the ticket stops.

The template does not have a field for what I need

Sometimes true. More often the field exists on a different template, or the provider is on a template built for another specialty because that is what was available at go live.

My note will not close

Nearly always a required element that was not captured, an unsigned order, or a pending result attached to the encounter. The fix is configuring the alert to say which element is missing.

The claim was rejected again

Trace it back to registration. Insurance sequencing, subscriber details, missing referral or authorization data cause most avoidable denials. The ticket lands on billing, but the cause is at the front desk.

The result never came through

Check the interface error queue before assuming the lab did not send it. Results that fail a match on patient identifiers land in an error bucket, and if nobody monitors that bucket the result is functionally lost.

The rule for triage

If two people report the same issue independently, stop treating it as a training gap. Recurring tickets are the build telling you where it is wrong. Log them by category for a month and the configuration work will prioritize itself.

A clinician entering patient information at a workstation keyboard
A nurse in scrubs and gloves preparing a syringe at a clinical supply trolley
A clinician reviewing information on a tablet
A clinician scanning a patient wristband against a chart
